1. A mailbox for invoices
An address on your own domain, say invoices@yourcompany.com, that you hand to your suppliers. What arrives there enters Odoo; what is not an SRI document does not.
Your domain, your mailbox
Automated supplier invoices
Every supplier who invoices you in Ecuador is obliged to send you the authorised XML by email, along with its printable version, at the moment they issue it. With this, that mailbox stops being a folder nobody opens: the XML is read, checked against the SRI, turned into a supplier bill in your Odoo and classified into your expense account. You review and confirm; nobody types.
It is what I use on my own company's books: 357 invoices from 78 suppliers came in and were classified in a day. I set it up in your Odoo for USD 190, and it keeps running inside your electronic invoicing plan.
The SRI's rule obliges the issuer to hand you the electronic document: the authorised XML and its printable representation, by email, at the moment of issue. So the invoices already arrive. The problem is what happens next.
Somebody opens the PDF and copies supplier, date, subtotal, VAT and total into the system. One mistyped figure is a miscalculated withholding or a tax credit nobody claims.
The mailbox mixes invoices with marketing; a month's worth goes in late or never goes in at all, and it surfaces when the accountant cross-checks the transaction annex against what the SRI does have on record.
Every invoice has to be taken to an expense account. The same supplier, month after month, gets asked again where it belongs.
When the filing is due, there is a batch of unrecorded invoices. The month-end close turns into a weekend.
Four steps that happen on their own, at the moment the email arrives. No scheduled job checking every so often: the event itself does the telling.
An address on your own domain, say invoices@yourcompany.com, that you hand to your suppliers. What arrives there enters Odoo; what is not an SRI document does not.
Your domain, your mailbox
Odoo reads the XML, verifies that the SRI authorised it and that it is addressed to your RUC (or to your cédula, your national ID number, if you are a sole trader: that is how most suppliers send it). A repeated document does not come in twice; one that is not yours is rejected with the reason written down.
Authorised and addressed to you
With the supplier created from the SRI's register if it did not exist, the lines exactly as they were invoiced, their taxes, the authorisation number and the XML attached. Invoices, credit and debit notes and withholding receipts, each to its own place.
In draft, for review
Three layers, and the first one that knows wins: the supplier's rule (the one you confirmed the first time), the economic activity the SRI records for that RUC, and artificial intelligence for the new supplier nobody knows. Whatever none of them knows is left marked "To classify", in plain sight.
It learns when you confirm
The same works for the backlog: documents from earlier months are downloaded from SRI en línea, the SRI's online portal, and come in by the same path with the Load button. It is how a whole year was brought up to date in an afternoon.
I do not sell it before using it. On 21 September 2026 I downloaded from SRI en línea the 420 documents issued to me during the year, ran them through this path, and ended with 357 invoices and credit notes from 78 suppliers in draft, each with its account and its scope. The 63 withholding receipts are waiting for their sales invoices, as they should.
What I learnt on the way is in the product: that suppliers identify a sole trader by their cédula rather than by their RUC, and that some record it as a passport; that a new supplier is almost always classified correctly from what the SRI says about them; and that artificial intelligence is only needed for the rest, which is not much.
The invoice mailbox connected to your Odoo; the download and loading of this year's documents from SRI en línea; the initial rules for your suppliers, written with you or with your accountant; and the classification tested against your own invoices before handover.
Odoo 19 Community with my Ecuadorian localisation, which is the one that carries the reception: if you already have the Issuing or Operations plan, you have it; if you have your own Odoo 19 Community, it gets installed. And an address on your own domain for the mailbox.
The reception and the classifier are mine and live in my localisation. On Odoo Enterprise or with another localisation, the first thing is a fifteen-minute call to see what your system carries and what can be done; I do not sell you what I have not tested.
Confirming and paying the invoices for you, bank reconciliation, the electronic signature or its renewal, or paper invoices: what does not arrive as an XML authorised by the SRI does not come in this way.
The setup is paid once. Running the mailbox, the classification, the artificial intelligence and the SRI's changes stay inside your electronic invoicing plan, with no extra monthly fee.
The mailbox connected, this year's history loaded from SRI en línea, the initial rules for your suppliers and the classification tested against your invoices. Paid when you sign the proposal in your portal.
If you already have a plan for electronic invoicing in Odoo Community, the reception runs inside it. If you do not, the Issuing plan is USD 29 a month and carries both issuing and reception.
Five business days from payment, provided I have access to your Odoo and to the administration of your domain's email on the first day. If an access is delayed, the deadline moves by the same number of days.
Prices in United States dollars; under my tax regime, RIMPE Negocio Popular, my services are invoiced with VAT at 0 %, so the figure is the final one. Guarantee: if you cancel within fourteen days of payment and before the mailbox receives its first real invoice, I return the USD 190 in full; if within thirty days of delivery a document authorised by the SRI and addressed to you does not come in, I fix it at no cost. Full conditions in the proposal and in the refund policy.
Only send the invoice to the mailbox you give them, instead of to the usual address. They are already obliged to send you the XML and the printable version by email, so it is changing one address. Whatever arrives at the usual address can be forwarded to the mailbox with a rule, and whatever does not arrive is downloaded from SRI en línea.
SRI en línea keeps every document that has been issued to you. They are downloaded and come in by the same path with the Load button. The setup includes this year's.
Whatever the artificial intelligence decides is marked as such, under a filter of its own, so you can review it before confirming. You correct the account, confirm, and from that moment the supplier's rule is yours: the artificial intelligence does not weigh in on that supplier again.
Yes. A withholding receipt issued to you comes in as a withholding on the sales invoice it was taken from, and the customer's balance comes out right. That is why withholding receipts wait until your sales invoices are in Odoo.
The reception and the classifier live in my localisation for Odoo 19 Community. Odoo Enterprise carries its own Ecuadorian localisation, and what it does with the XMLs you receive depends on it. Before telling you yes, I look at it with you on a fifteen-minute call.
In your Odoo. The mailbox delivers the email to your installation and it is processed there; nothing goes through a third-party service except the public RUC lookup at the SRI and, if you switch it on, the question to the artificial intelligence, which receives the supplier's name, its activity and what was invoiced, and nothing else.
